How Rucibo works: from an invoice photo to the RG 90 file
Seven steps, from the purchase to the package your accountant receives. Most of it happens by itself, in the background. Rucibo is in beta: these features are switched on in stages.
In Paraguay, a factura (tax invoice) only gives IVA credit if it is issued to your RUC, your taxpayer number; for IRP it must identify you or a declared dependent. Every purchase document also has to be registered in Marangatu, the online system of the DNIT, Paraguay's tax authority. Rucibo handles the tedious part. Here is how.
1. Add your RUCs
Sign in with your Google or Apple account and add your first RUC. For each one you enter:
- A nickname that is easy to spot: "Me", "My company", "Mom".
- The RUC with its check digit (DV). If the digit does not match, the app suggests the right one. If your RUC really is that way, you can confirm it anyway: some official RUCs fail the calculation.
- Your tax obligations: IVA General, IRP-RSP, IRE SIMPLE, IRE General or RESIMPLE. If you are not sure, choose "I don't know, my accountant handles it".
- Your accountant's email, if you like.
You can also add your dependents (spouse, children or parents in your care) and contractual links, such as the electricity or water bill in your landlord's name. Each RUC gets its own button on the home screen.
2. Capture: camera, PDF or share from WhatsApp
- With the camera. Tap "Take photo" on the right RUC. The scanner crops the document: one photo per invoice. If the photo is blurry, the app warns you so you can take another one.
- With a PDF or a photo you already have. Import the PDF from Files (up to 10 MB and 10 pages) or the photo from your gallery. If the PDF is an electronic invoice, Rucibo finds the CDC in its text. Send long, multi-page invoices as a PDF.
- By sharing from WhatsApp, email or Files. Pick Rucibo in the Share menu. If Rucibo recognizes the RUC it was issued to, it files it there; if not, it goes to your main RUC and you can move it with a tap.
- Without signal. The invoice is saved on your phone and uploads by itself once you are back online.
A tip: take the photo on the day of the purchase. The thermal paper used for tickets and many KuDEs fades over time.
3. Rucibo reads and checks the invoice
Electronic invoices. The QR code on the KuDE (the printed version of an e-invoice) carries the CDC (a 44-digit code), the issuer's RUC, the number, the date and time, the buyer's RUC, the total and the total IVA. Rucibo reads it directly. The QR does not include the split between 10%, 5% and exempt, so those amounts are read from the document.
Paper invoices and tickets. An artificial intelligence model reads the supplier's name and RUC, the timbrado, the number, the date, the payment terms (cash or credit) and the amounts per rate. Fixed rules then check the result:
- the check digit of every RUC;
- that the date falls within the timbrado's validity;
- that taxable 10% + taxable 5% + exempt equal the total, and that the IVA adds up;
- that the invoice is issued to you or to one of your dependents.
How VAT (IVA) works in Paraguay. Invoice amounts already include IVA. The standard rate is 10%; a 5% rate applies to some goods and services set by Law 6380/2019, such as home rent and part of the basic food basket. Some sales are exempt. On each invoice, the 10% IVA is the taxable amount divided by 11, and the 5% IVA is the taxable amount divided by 21.
The issue date sets the month. If no date is found, the capture date in Paraguay time is used and marked as an estimate. You never pick the month.
Invoices in US dollars or another currency. They keep their original amount and currency and are flagged for review. Rucibo does not convert them to guaraníes.
4. Review before saving, or let it run on its own
The first time, you choose a mode. You can change it at any time in Settings.
- Review before saving. You see the data as it arrives, fix anything you need and tap Save. The invoice is safe from the moment you take the photo, and your manual corrections are never overwritten.
- Save and go. Take the photo, see "Done" and get on with your day. We send you a notification when the invoice is ready or if it needs a look. Processing can sometimes take a few minutes. On Android, the app can close itself after saving and drop you back in WhatsApp; on iPhone, you go back with the shortcut in the top-left corner.
Anything that needs attention waits under "To review". In review mode, invoices you have not confirmed stay out of the RG 90 file: your accountant sees them in the spreadsheet as pending.
5. Month end: the package for your accountant
For each RUC and each month, Rucibo builds a package with:
- the RG 90 file for paper invoices, in the DNIT import format (a TXT inside a ZIP);
- an Excel spreadsheet with the detail, a summary, the list of electronic invoices and the flagged ones;
- every image and PDF, renamed with the date, supplier RUC, number and total.
Choose how it reaches your accountant:
- Link: send it on WhatsApp or anywhere else. It expires after 14 days (30 at most) and you can revoke it.
- Email: your accountant gets the link, with no attachments.
- Download: you download the ZIP and share it yourself.
- Google Drive: Rucibo creates a folder per RUC, year and month and shares it with your accountant. It can upload the package at month end, each invoice as you add it, or both.
If an invoice turns up for a month you already sent, it is marked as late, and the next file for that month only carries the new ones, with no repeated rows.
Send your invoices to your accountant in the first days of the month, so they have time to register the purchases and prepare the IVA return. If you only have IRP-RSP, your register is annual and you can export the whole year.
And how does it get into Marangatu?
Since RG 90/2021, every purchase document is registered one by one in Marangatu, either by hand or by importing a file. Your accountant (or you, if you do your own filings) imports the ZIP into the purchase register, following the DNIT step-by-step import guide (in Spanish). The DNIT processes the file within 72 hours and posts the result to the Marandu mailbox. Registered data counts as a sworn statement, so it is worth reviewing before confirming.
6. Electronic invoices: the list for "Compras a Imputar"
Electronic invoices (the ones with a CDC) and virtual invoices do not go in the RG 90 file: they already show up in Marangatu under "Compras a Imputar". They still have to be allocated (imputar) to IVA, IRP-RSP or IRE SIMPLE, or marked "No imputar".
- The checklist. The spreadsheet includes a sheet with every electronic invoice of the month, its suggested allocation and a link to verify it. Marangatu does not import that list: it helps your accountant allocate invoices faster without missing any.
- Invoices without a name or issued to another RUC. If the QR shows the invoice was not issued to your RUC, Rucibo warns you right away. If it was issued without a name, ask the store to send the nomination event ("evento de nominación") to your RUC; if it went to another RUC, ask them to cancel it and issue a new one (they can cancel it within 48 hours of approval). Otherwise it gives no IVA credit and will not appear in your Marangatu.
- The first 72 hours. The issuer has up to 72 hours to transmit the invoice and can cancel it within 48 hours of approval. That is why it is worth verifying before closing the month: the spreadsheet links to the public e-Kuatia lookup.
- Dependents. Electronic invoices in the name of a dependent or a contractual link are added by hand in Marangatu under "Compras familiares - Otros vínculos". They are highlighted in the list.
7. Keep the paper until 31 December of the invoice's year plus 6
A photo does not replace the original. RG 90 requires you to keep physical documents for the tax's statute of limitations. In practice: until 31 December of the invoice's year plus 6 years. An invoice from 2026 must be kept until 31 December 2032.
- It is a minimum: an amended return, a tax audit or a payment plan can restart the clock.
- A habit that works: one envelope per month, with the month and year written on the front.
- While you have an account, Rucibo keeps your images for at least that long, so you can still read a ticket after the paper fades. The document that counts is still the paper.
